LESSEE RULES AND REGULATIONS
Exhibit Space
Each space will measure 10’x10’ square at $50.00 per space. Exhibitors may provide their own tables and chairs. There are 8 ft. tables available to rent at $10.00 each if ordered by June 1st. Tables ordered after June 1st will be $20 each. The Northern Maine Fair will provide the said 10’x10’ area. This area will be open space without curtains or backdrops. All sales and display materials must be confined to the exhibit space specified and must be in good taste. Please use main entrance only. We ask that all exhibitor’s refrain from using the side doors during the event.
The Northern Maine Fair reserves the right to determine whether your item for exhibit is in compliance. Any food product must be given prior consent by The Northern Maine Fair management. The Northern Maine Fair management will determine what goods or products may be sold at the event. Management may at any time order the removal of an exhibit which is not up to show standards, with no refund or allotment to the exhibitor. The facility management further reserves the right to discontinue any exhibit which may be conducted in violation of the conditions defined herein. There will be no refund of exhibit space fees. There will be absolutely no exhibitors’ raffles without consent of Management.
Reservation of Space
Reservation for space or spaces must be in writing in the form of a signed contract provided to you by The Northern Maine Fair and returned along with payment in full for space or spaces. Remittance for tables must accompany your exhibit space payment to insure their availability. If exhibitors wish to wait until set up day to rent tables, payment must be made upon rental. ALL TABLES NEED TO BE PAID BEFORE START OF SHOW. Your response must be received by the date on the contract to insure your space or spaces. The contract which you return will be kept at The Commercial Building at The Fairgrounds. An actual copy of the executed contract may be obtained upon request on the day of set up for the show. Payment can be made with cash or check with Melissa Carney or Kellie Peers.
*The Northern Maine Fair Management reserves the right to move Exhibitor’s space(s) as necessary to accommodate the floor plan of the building.
*No refunds will be given for cancellation of space(s) or table rental.
Set Up & Times
Set up anytime between the hours of 12:00 pm and 7:00 pm on Friday, September 18th, 2026, and on Saturday, September 19th, 2026 between the hours of 7:00 am and 9:00 am. We ask that all exhibitors be set up by 9:00 am as we will open to the general public at this time. The hours for the show will be Saturday 9 am to 4 pm and Sunday 9 am to 2 pm. Tear down / move out time ends at 4pm on Sunday, September 20th. All exhibitors are responsible for cleaning up and bagging their own trash and cardboard. A $50 fee will be charged to any exhibitor who leaves trash or items behind or who is not ready to exit the building by 4pm.
Electrical Requirements
If you need power, it is essential that we know when you return your contract so that we may accommodate your need for electricity for your space(s). Please make a note on your contract when you are returning it with payment. If you are requesting electricity, please bring an extension cord with you for electric.
Insurance and Liability
Insurance must be obtained by exhibitor at exhibitor’s expense. The Northern Maine Fair assumes no risk and by acceptance of this agreement, the exhibitor expressly releases The Northern Maine Fair of and from any and all liability for damage, injury, or loss to any person or goods which arise from the use and occupancy of said by exhibitor. Exhibitor also agrees to hold and save The Northern Maine Fair harmless of any and all loss or damage by reason thereof. The Northern Maine Fair assumes no responsibility whatsoever for property placed in or around The Commercial building on the Northern Maine Fairgrounds. The Northern Maine Fair is hereby released and discharged of any and all liability from loss, injury, or damage to persons or property that may be sustained while at The Commercial building. This includes damage during or near transport delivery, mantling or dismantling of exhibits. The Northern Maine Fair and their employees will not be responsible for any injury to merchandise or for any loss by fire, theft, damages, delay, mechanical or electrical failure or labor trouble which may be caused while exhibitors are utilizing The Commercial Building. The Northern Maine Fair will not be liable for refunds for any other liabilities whatsoever for the failure to fulfill this contract due to any of the following causes:
1. By reason of the enclosure in which the Exhibitor is to produce, is destroyed by fire or other calamity.
2. By an act of GOD, public enemy or strikes, the requirements or statutes, ordinances or any legal authority, or any cause beyond the control of The Northern Maine Fair.
3. The Northern Maine Fair reserves the right to cancel this event for any reason The Northern Maine Fair Management feels is just cause.
By signing the Trash & Treasure Sale Lease, I agree to the rules and regulations in this document.
